How to Manage Student Fees & Invoices

Create fee structures, generate invoices, and track payments.

Set up fee categories

Go to Fees → Fee Categories. Create categories like "Tuition", "Registration Fee", "Lab Fee", "Transportation", etc. Set the default amount for each category.

Create invoices

Go to Fees → Create Invoice. Select the student(s), choose fee categories, set the amount, due date, and payment terms. You can create invoices for individual students or bulk-generate for entire classes.

Send invoices to parents

Click "Send Invoice" to email the invoice to the parent. The invoice includes a link for online payment and bank transfer details as an alternative.

Track payments

The Fees dashboard shows a clear overview of total invoiced, collected, and outstanding amounts. Filter by class, status (Paid, Pending, Overdue), or date range.

Process online payments

When connected to Stripe, parents can pay invoices online with credit or debit cards. Payments are automatically recorded and receipts are generated.

Send payment reminders

For overdue invoices, use the "Send Reminder" feature to notify parents via email. You can also set up automatic reminders through WhatsApp.

Generate financial reports

Go to Fees → Reports to generate collection summaries, outstanding balance reports, and revenue analysis by term or category.

  • Set up Stripe integration first (Settings → Payments) to enable online payments.
  • Use bulk invoice generation at the start of each term to save time.
  • Schedule automatic reminders for overdue invoices to improve collection rates.
  • Include bank transfer details on invoices for parents who prefer that method.
